KidzQuest Terms and Conditions
Welcome to KidzQuest! We are thrilled to provide a safe, fun and engaging camp experience for children. By booking a place at KidzQuest, parents and guardians (“you”) agree to the following terms and conditions, which are in place to ensure the well-being and enjoyment of all participants. Please read these carefully before proceeding with your booking.
By proceeding with your booking, you confirm that you have read, understood and agreed to these Terms and Conditions.
1. Bookings and Payments
- Bookings are only confirmed upon full payment and receipt of a booking confirmation email.
- Payment must be completed at the time of booking unless otherwise agreed.
- Please note that all payments are non-refundable except in the circumstances outlined below.
- A VAT invoice will be issued upon request.
2. Cancellations and Refunds
- Parent-Initiated Cancellations: Cancellations made 7 days or more before the camp start date may be eligible for a 50% refund. Cancellations made within 7 days of the camp start date are non-refundable.
- KidzQuest-Initiated Cancellations: If a camp is cancelled by KidzQuest due to unforeseen circumstances, such as extreme weather, health concerns or staff shortages, we will offer either a full refund or the option to transfer the booking to a future camp date, subject to availability.
3. Camp Hours and Late Pickup
- Drop-off is from 08:30-08:45 and standard collection is 16:30 . We kindly request that children are dropped off and picked up punctually.
- Charges for early drop-off (£10) and late pick-ups (£15) must be paid in full.
- Please notify us at least 24 hours in advance or as soon as reasonably possible if alternative pickup arrangements are necessary.
4. Health, Safety and Emergency Procedures
- Our safeguarding policies, led by Steven French (Designated Safeguarding Lead) and Laura French (Deputy), are designed to ensure the well-being of every child. Parents agree to disclose all health and additional needs on the registration form and provide updates should needs change.
- Parents must ensure children bring any necessary medication to camp and provide instructions for administration. All medications must be clearly labelled.
- The emergency contact number for KidzQuest is 07xxxxxxxxx, and incidents can be reported via email at incidentreport@kidzquestcamps.co.uk.
- In the event of an emergency, children will be escorted to the assembly point on the school field. If necessary, we will contact you as soon as possible in such cases.
5. Health and Medical Information
- KidzQuest is committed to providing inclusive and accessible services. We welcome details about any specific medical, dietary or additional needs your child may have. Please complete the registration form thoroughly, as this information is essential to ensuring their comfort and safety.
- Parents are responsible for updating KidzQuest with any changes in their child’s health or medical requirements as soon as possible.
6. Behavioural Expectations and Camp Standards
- KidzQuest encourages a positive, kind and respectful environment for all children. Any behaviour deemed dangerous, disruptive or disrespectful may result in the parent being asked to collect the child from camp.
- We reserve the right to refuse admission or require removal of a child from the camp whose behaviour poses a risk to themselves, other children or staff. If we find that we cannot meet the child’s needs, we reserve the right to cancel their place.
- In cases where a cancellation is necessary due to unmet needs or behavioural issues, a pro-rata refund for any remaining booked days may be issued at the discretion of the Camp Directors.
7. Personal Property and Attire
- Children should wear comfortable clothing suitable for active play, and it is recommended they bring a water bottle, hat, sunscreen, and appropriate footwear.
- KidzQuest cannot be held responsible for any lost or damaged personal items. We recommend that valuables are left at home.
- All personal items should be clearly labelled with the child’s name.
8. Activities and Risks
- KidzQuest offers a range of activities that may involve play equipment such as climbing frames, which carry inherent risks. Parents acknowledge these risks and agree that KidzQuest takes all reasonable steps to ensure safety.
- We reserve the right to modify or cancel activities due to weather, safety, or other concerns.
9. Photography and Media
- KidzQuest may occasionally take photos or videos of children during activities for promotional use (e.g., website, social media). Please indicate on the registration form if you do not wish your child to be included in any media.
10. Liability
- KidzQuest cannot be held liable for any personal injury, loss, or damage to property except in cases of negligence on the part of KidzQuest or its staff.
- By agreeing to these terms, you accept full responsibility and any associated costs for any damage or destruction, accidental or wilful, caused by your child to KidzQuest property, equipment or facilities.
11. Data Protection
- KidzQuest respects your privacy and adheres to GDPR regulations. Any personal data provided during registration will be used solely for camp operations, communication and emergency purposes.

12. Changes to Terms and Conditions
- KidzQuest reserves the right to amend these Terms and Conditions at any time and without notice. We will notify you of any significant changes by email.
